Routine Maintenance Schedule for 12/12/10 at 0630 GMT

We have made provisions to update our infrastructure to increase the speed of Tactile CRM and allow us to release new features, including improved search.

To allow us to do this we need to undertake some database maintainence prior to the upgrade. This pre-upgrade maintenance will take place on Sunday 12th December at 6.30am GMT for up to two hours.

Tactile CRM will be unavailable for this period.

Once this maintenance has been completed we will schedule in the full system upgrade.

New Feature: Allow import and export of custom fields

Lots of people have been asking to import into custom fields when importing organisations and people on our feedback forums.

We are pleased to announce that the import and export tools (you can find them linked on the right hand side on the organisations, people, opportunities and activities tabs) now allows you work with any custom fields you have setup.

Top Tip: allow admin users to turn off import and export

One of the requested features on our feedback forum has been the ability to turn import and export options off for users to help protect your data.

To access this new feature all you need to do is visit the Admin area of Tactile CRM and choose the user permissions option near the top of the page.

Quicker search released

You may have noticed today that the search in Tactile CRM is faster. This is the first stage in our overhaul of the search system and should help you find things faster.

The next stage is to add better search results and potentially look at including notes etc. in the search results. If you'd like to give us some ideas you'd like to see in the search, or elsewhere in the product, just visit our feedback forum and let us know.

Keeping up to date with RSS feeds of updates in Tactile CRM

We have made it even easier to keep up with what is going on inside Tactile CRM by adding handy RSS feeds for the timeline on your dashboard. Just use the new ‘Subscribe button’:

But that’s not all – as this was a feature suggested by our users we also added the feeds to each organisation, person, opportunity and activity within Tactile CRM!

A really simple sales tool with RSS – how it works

If you’ve not come across RSS before it’s a neat tool to keep up to date with ‘feeds’ or lists of information. There are lots of tools that will help you read RSS, including many of the popular web browsers.

What this means for you – well now you can keep up to date with the information you and your team are keeping within Tactile CRM without having to login. Simple click the handy ‘Subscribe’ button on your dashboard or wherever you see a timeline and you will be kept up to date with the information being entered, it’s a really simple sales tool to help you keep up to speed with what’s going on.

New Feature: Custom fields added to export

We're pleased to announce another update to Tactile CRM that has been requested by our users. The export option available on Organisations, People, Opportunities, and Activities now includes any custom fields you have added so you can easily access them when merging your data with other applications such as mailing list software, or mail merges. This update has been automatically rolled out to all users and can be accessed immediately. If you'd like to see a new feature in Tactile CRM, simply suggest your idea on our feedback forum and we'll consider it for a future release.

New Feature: Paging and Number of Items per Page

We are really pleased to announce three new features we have added to Tactile CRM to help make using the system even easier for you.

Some of the most requested features on our feedback forum has been the ability to:

  • Jump to a specific page in search results on the overview pages
  • Change the number of items listed on the overview pages
  • Jump to a specific letter in the items listed on the overview pages

All three of these features are now available within Tactile CRM. All you need to do is click on the new ‘Spanner/Wrench’ icon in the paging area and handy popup will appear to allow you to choose/set your options:

You don’t need to do anything to enable this new feature, as with all our updates they are applied automatically to your account, and remember – if there is a feature you would like to see in Tactile CRM, just let us know!

New Feature: Add webcal link for Outlook users

We have updated how we deal with the iCal link in user preferences. As Outlook prefers and understands webcal:// to http:// we've added this as a link option so it should open direct in Outlook.

New Release: 4.3 – The Admin Release

We are please to announce the lastest version of Tactile CRM which has focused around improving the admin and security features available in Tactile CRM.

The main features in this new release are:

  • Exported CSV files are now zipped to dramatically reduce email size
  • Allow users to select AM/PM and 24h time formatting
  • Allow users to customise the login page by adding their own logo
  • Allow admin users to mass update permissions
  • Allow admin users to set default permissions for newly created items
  • Allow admin users to turn off export options for users
  • Allow admin users to turn off import options for users
  • Added some additional fields to the add people dialog

Controlling Access to Contacts

Tactile CRM has a simple permissions system for controlling access to the contacts in your account. But to understand how the permissions system works, you must first understand how the different types of record are related to each other. Organisations, People, Opportunities and Activities are the four basic types of record, and the following diagram expresses the relationships between them:

Record types further down the stack pictured above may belong to any combination of types above them. For example, you can specify that an Opportunity relates to a particular Person and Organisation, or just a particular Person. An Activity could relate to an Opportunity, a Person, and Organisation, all three, etc.

If you would like to control access (that is, who can look at a record and who can edit it) to your data in Tactile CRM, you will need to make use of the permissions system present on Organisations. By default, when you create a new record in Tactile CRM it will be visible by all users in your account, and editable by the same:

Let’s say you have a small team of sales staff, whom you’ve given access to Tactile CRM, but you wouldn’t want to give permission to change any of your contact data. To implement such a restriction, you can use the ‘Access Permissions’ controls present on the New/Edit Organisation forms:

To restrict who has permission to edit this Organisation, you would either select the ‘Just Me’ option from ‘Read & Write Access’, or the ‘Select Users…’ option, then choose appropriately. Similarly, by removing a User’s ‘Read Access’, they will no longer be able to view the record. Bear in mind when selecting permissions that a User with write access will be given read access also.

Organisations are the only record type you can specify permissions for in Tactile CRM, but all items related to an Organisation will inherit its permissions.

Tactile CRM has a couple of features for making the editing of permission settings easier. The first is the ‘Change Access Permissions’ control, present when selecting multiple records from an index page:

This will allow you to change the permissions for a large number of Organisations at once.

The other feature is the ‘Default Permissions’ set of controls, found on the ‘User Permissions’ section of the admin panel. Using this page, you can choose what the default permission settings are for each User in your account, and whether they are fixed or not. User with fixed permissions cannot change them.

This can be useful for keeping two groups of users separate from each other. For example, you may have multiple teams responsible for inputting contact data into Tactile CRM, but you would like to keep each group’s data separate. By setting up the default permissions so that each group’s default read permissions do not allow the other group access, all Organisations and related records will be shown only to their respective groups.
